A framework to prioritise your nonprofit’s digital activities

Right before you plan your next campaign, this is the best time to review your digital activities.

For resource-strapped nonprofits, determining where to focus digital efforts can be a constant struggle. With small teams balancing multiple programs, it's easy to get stuck reacting to the latest opportunity without a strategic plan.

During a recent workshop, I shared a framework I’m using to stay focused on my digital tasks.

Have you heard of the Impact Effort Matrix? As a simple prioritisation model, it helps nonprofits make smart decisions about where to direct time and resources for maximum impact.

Why you need the Impact Effort Matrix

The Impact Effort Matrix evaluates potential projects based on two key factors:

  • Impact - How much will this project help us accomplish our goals?

  • Effort - How much time/resources will this project require?

Plotting your options on these two measures allows you to quickly identify activities with the optimal return. It enables you to focus energy on high-impact initiatives instead of getting lost in busy work.

Before planning your next campaign or calendar, using the Impact Effort Matrix sets you up for success by directing resources to the elements that matter most.

How the Impact Effort Matrix works

  1. List all potential digital projects/tasks - These could include starting a newsletter, launching social media channels, redesigning your website, search engine optimisation, online advertising, etc.

  2. Plot each activity on the matrix - Assess the impact it will have and the effort required. High impact and low effort are quick wins. High effort and low impact may not be worth it.

  3. Categorise your options - The matrix creates four quadrants:

    • Quick Wins - High impact, low effort. Do these first.

    • Major Projects - High impact, high effort. Important but may require more resources.

    • Fill Ins - Low impact, low effort. Useful for maintaining existing programs.

    • Thankless Tasks - Low impact, high effort. Consider dropping.

  4. Prioritise within each quadrant - Which 1-2 activities will you tackle in the next month? Go for the low-hanging fruit.

  5. Re-evaluate regularly - Your options and goals will change over time. Update the matrix to reflect new opportunities.

How to start using the Impact Effort Matrix

To put the Impact Effort Matrix into practice:

  • Download the free template

  • Gather your team for a brainstorm - What are all the potential projects you've discussed?

  • Plot each on the matrix - Have team members assess independently before discussing as a group.

  • Identify 1-2 action items per quadrant for the next month.

  • Revisit the matrix at your monthly planning meetings. What has changed? Any new opportunities?

The Impact Effort Matrix enables nonprofits to engage in strategic priority-setting, rather than getting stuck in the weeds of constant reactivity. Implementing this simple model will help focus your limited resources on high-value digital activities with the greatest return.
